1. Introduction and Purpose

Tono operates a web-based SaaS platform that connects Clients, Consulting Firms (Suppliers), and Consultants in a tripartite setup for the purpose of facilitating freelance technical assignments.

This policy describes how Tono collects, uses, shares, and protects personal data and other relevant information, as well as the terms of service for use of the platform.

The policy applies to all users of the platform, including Clients, Consulting Firms, and Consultants, each of whom has their own login and access to functionalities such as matchmaking, contract management, compliance, payment handling, CV database access, and more.

2. Definitions and Roles

  • Personal Data: Any information relating to an identified or identifiable natural person.
  • Processing: Any operation performed on personal data, such as collection, storage, transfer, deletion, etc.
  • Data Controller: Tono is the data controller for all personal data processed on the platform, unless otherwise specified.
  • Data Processor: Third-party providers (e.g., hosting, payment processors) that process data on behalf of Tono.
  • Client, Supplier (Consulting Firm), Consultant:Parties involved in the platform's three-sided commercial relationships.

3. Data Collected and Purpose

Tono collects different types of data depending on the user role. For example:

Consultants: Name, address, phone, email, company name, VAT/CVR number, CV, education, certifications, work experience, portfolio, references, tax and payment info.
Purpose: Profile creation, identity and qualification verification, matching with clients, compliance, and payment processing.

Consulting Firms: Company name, registration number, contact person, tax data, compliance documentation, bank info.
Purpose: Validation, payment handling, legal compliance.

Clients: Company name, contact details, project and contract history, billing info.
Purpose: Project management, invoicing, matching and platform usage.

Platform Data: Login credentials, user activity logs, chat history, feedback.
Purpose: Platform functionality, auditing, support, and quality improvement.

Legal basis: Consent, contractual necessity, legal obligation, and legitimate interest.

4. Use of Platform: Terms of Service

Each user receives unique login credentials. Users are responsible for maintaining the confidentiality of their accounts.

Tono facilitates project matching, contract management, e-signatures, document storage, and transaction processing between Clients, Suppliers, and Consultants.

Tono handles payments between Clients and Consulting Firms (who pay Consultants). Tono may withhold platform fees or taxes as agreed. Payment data is securely processed.

Tono performs background and compliance checks where necessary. Any misuse or breach may result in account suspension or termination.

Users may not use the platform for unlawful purposes, infringement, spamming, or abuse. Tono may suspend users violating these terms.

5. Data Sharing and Disclosure

Tono shares data internally between the three parties when necessary for service delivery.

Tono uses trusted third-party providers (e.g., hosting, email, analytics) under strict data processing agreements.

Legal disclosure may occur where required by law or authority order.

Tono may use anonymized or aggregated data for analytics, research, or reporting purposes.

6. Data Retention and Security

Personal data is retained only as long as necessary for business or legal purposes, then deleted or anonymized.

Security measures include encrypted transmission (TLS/SSL), role-based access controls, activity logs, regular backups, incident monitoring, and vulnerability testing.

7. User Rights (GDPR)

Users may exercise the following rights:

  • Access to their personal data
  • Rectification of incorrect data
  • Erasure ('right to be forgotten') where applicable
  • Restriction of processing
  • Objection to processing based on legitimate interest
  • Data portability where applicable
  • Right to file complaint with the Danish Data Protection Agency (Datatilsynet)

8. Cookies and Tracking

Tono uses cookies and similar technologies for essential platform functionality, analytics, and (if applicable) marketing.

Users are informed on first visit and can manage preferences via the platform's cookie banner or settings.

Third-party tools (e.g., Google Analytics) comply with relevant privacy rules.

10. Changes and Updates

Tono may update this policy from time to time. Users will be notified of significant changes via email or upon login. Changes will normally take effect 30 days after notice.
